ECA Individual Members
All delegates who register as ECA Individual Member will be subject to confirmation by the ECA membership database.

Non-ECA Individual Members
Delegates who are NOT individual members of the European Crystallographic Association.

Students & Retired
Delegates who register at the category 3 are asked to submit relevant proof of their student/retirement status. Students are considered graduate or PhD students of crystallography and related disciplines under the age of 35 (including those who turn(ed) 35 during the year 2016). Under any circumstances delegates with the obtained PhD or above the age of 35 cannot register as students. Proof of status, including the supervisor’s contact, university document proving the student status, or the passport/ID copy may be demanded. Retired persons are considered delegates over the age of 65 (including those who turned 65 during the year 2016) and who are NOT regularly employed.

Exhibitors
Registration under category 5 is only allowed to the stand staff of an exhibiting company. As the booth rental automatically includes one full registration per 6m2, exhibitors will be allowed to register one additional person per 6m2 booth, provided the person is working on the booth.

Confirmation
Upon receipt of the correct registration fee, each participant will receive a confirmation of registration. Please bring this confirmation to the registration desk at the conference centre as proof of your registration.

Invitation letter
The organisers will be pleased to send a letter of invitation to any individual requesting one, once their registration and fee have been received. It is to be understood that such an invitation is intended to help potential participants raise travel funds or obtain a visa. It is not a commitment on the part of the congress to provide any financial support. You may request such a letter during the online registration or from the Congress Secretariat at registration.ecm30@congrex.com

Press Registration
Accredited journalists are welcome to cover the ECM-30. Please use the online registration and upload your press identification.

Payment
The registration fees are payable in CHF in advance to the conference secretariat by credit card (Visa, Mastercard, American Express) or bank transfer.

If you pay by bank transfer, please note:

  • Additional fee of CHF 15.- is required
  • Bank charges are the responsibility of the payer and should be paid in addition to the registration fees.
  • Please ensure that the name of the participant is stated on the transaction draft.

Registration will only be valid upon receipt of the full payment by the registration department according to the deadline indicated. If a bank transfer is done shortly before the conference starts, a copy of the bank transfer (or other proof of payment) will be required in the event that registration fees were not credited to the conference account on time.

On-site registration will be accepted but receipt of all congress documents cannot be guaranteed.

Cancellation / Name change
Refund of fees, less 25% administrative charges, can be applied for in writing until 6 May 2016 to the Administrative Secretariat. After this date no refund will be possible. Substitutions of attendees can be made at any time. For any change of names, a fee of CHF 30.– will be charged.
On-site changes of name badges due to incorrect submission of names and/or address data will be charged CHF 10.–.

Responsibility
The participant acknowledges that she / he has no right to lodge damage claims against the organisers should the holding of the congress be hindered or prevented by unexpected political or economical events or generally by "force majeure", or should the non-appearance of speakers or other reasons necessitate programme changes. With her / his registration, the participant accepts this proviso.

By accepting the general terms and conditions, the participant declares that he/she agrees to its personal and company data being processed by Congrex Switzerland, may be  forwarded to the sponsors and exhibitors of the congress and that this data may be used for information purposes on congresses and events in related fields organised by Congrex Switzerland. In the opposing case, the participant notifies Congrex Switzerland in written within 5 working days after the registration.
